Barcode vs QR Code vs RFID Asset Tags

Barcode, QR code and RFID asset tags all do the same job: give each asset a unique identity that can be read quickly. They differ in cost, how they are read, how much data they hold and how they cope with harsh conditions. This guide compares the three so you can choose the right technology, or the right mix, for your organisation.

The three technologies at a glance

Barcode asset tags

A linear barcode (usually Code 128) encodes the asset number as bars. It is the most established option, supported by almost every asset system and handheld scanner. Barcodes are compact, cheap to print and very reliable when printed with good contrast and a clear margin. Their limits: they hold only a number, need a scanner or app, and must be read one at a time in line of sight. See our barcode asset tags.

QR code asset tags

A QR code is a two-dimensional code that can hold more data, including a web link to the asset's record. Anyone can scan it with a phone camera, which makes it ideal where many people need to check or update assets: custodians, maintenance teams, auditors and field staff. RFID asset tags

RFID tags contain a chip and antenna read by radio. A reader can capture many tags at once without seeing them, which is powerful for warehouses, libraries, IT server rooms and gate monitoring. The trade-offs are cost, readers, infrastructure and interference from metal and liquids. For most office, school and institutional asset registers, barcode or QR tags give the same audit result at a fraction of the cost.

Which one should you choose?

• Annual verification of offices, schools, hospitals and branches: barcode or QR on anodized aluminium.
• Staff and field teams checking assets with phones: QR codes.
• Existing scanners and software that expect barcodes: Code 128 barcodes.
• Thousands of items moving through doors or warehouses daily: consider RFID.
• Not sure: print both a barcode and a QR code on each tag; it costs little extra and keeps options open.

The tag material matters as much as the code

Whichever code you choose, it only works if it stays readable. Paper and vinyl labels fade and peel, turning codes unreadable within a year or two. Anodized aluminium seals the code inside the metal, and acetone-activated adhesive keeps the tag on the asset. For tools and parts, laser marking engraves the code directly.
