A numbering system should help staff identify assets without creating duplicates or locking the organisation into a brittle structure. Prefer unique and stable identifiers

Assign each in-scope asset its own ID and do not reuse an old number after disposal unless your documented policy explicitly allows it. Keep the code concise enough to print and read. Avoid putting details that change, such as building, department or custodian, into the permanent ID.

Choose a pattern your team can maintain

A sequential number is simple to administer. A controlled prefix can help distinguish an organisation or asset class, but extra characters increase the chance of data entry errors and consume label space. Document the meaning of every prefix and set an owner for assigning new numbers.

Connect the ID to the register

Use the tag number as a unique key in the register. Store descriptions, serial numbers, location, custodian and lifecycle fields in the record, where they can be updated. Decide how your scanning software handles leading zeros and whether it treats IDs as text rather than numbers.

Test before production
