A well-run asset tagging project connects a physical item to an accurate record. Printing labels is only one step: teams also need agreed identifiers, consistent data capture, quality checks and a process for exceptions. Use this guide to structure an asset tagging rollout in Kenya, whether you manage one office or several sites.

1. Set scope and ownership

Agree which asset classes and locations are included, who approves records, and how teams will access restricted areas. Choose a project lead and site contacts. Define what counts as an asset for this exercise so the tagging team treats similar items consistently.

2. Prepare and clean the register

Review existing records for duplicates, missing descriptions and inconsistent location names. Decide which fields to capture, such as asset ID, description, make or model, serial number, department, custodian and current location. Keep personal or financial details governed by your organisation’s data rules.

3. Agree the identifier and tag

Set a unique numbering sequence and decide whether barcode or QR scanning will be used. Match the tag material and fixing method to the equipment surface and conditions. Approve a physical proof and test scanning with the receiving workflow before producing the full batch.

4. Tag, record and reconcile

At each item, verify the asset against the register, apply the tag in a consistent visible position, and capture the identifier and location. Record exceptions such as missing items, duplicate serials, damaged equipment or inaccessible rooms for review instead of guessing.

5. Review and maintain

Reconcile tagged items to the final register, investigate unmatched records and document handover. Assign responsibility for tagging new purchases, transfers, disposals and replacements. Vexar provides fixed asset tagging services and asset management software options.

Frequently asked questions

What should happen before tags are printed?

Confirm project scope, clean the asset data, approve the identifier sequence and test the proposed tag layout and scanning workflow.

How should a team handle an asset missing from the register?

Record it as an exception with enough identifying details for an authorised reviewer to resolve it; do not invent or duplicate an ID.
