The Asset Tagging Process: A Step-by-Step Guide

View Samples Plan practical asset tagging for schools, healthcare facilities and NGOs, with clear location data, access controls and durable identification.

Schools, hospitals and NGOs manage equipment across rooms, departments and sometimes multiple sites. Asset tagging can make physical verification more consistent when the tag ID, register and location data agree. Each organisation should adapt the process to its own safeguarding, privacy and procurement rules. See our fixed asset tagging services.

Potential asset groups include computers, laboratory equipment, furniture, audiovisual devices and shared teaching resources. Coordinate tagging with school calendars and room access. Record building, room and responsible department in the register, and define who reports transfers between classrooms or campuses.
Plan around clinical schedules, infection-control procedures and access restrictions. Confirm that tag placement does not cover manufacturer instructions, controls or maintenance information. Equipment owners should approve materials and cleaning compatibility, especially where devices are routinely disinfected.
Agree on common identifiers and location names across offices and project sites. Keep the central register consistent while allowing authorised local staff to report movements, missing items and new acquisitions. Make sure the tag format is readable and scannable with the devices teams can actually access.
Prepare records, inform site contacts, test the tag and scanning workflow, then reconcile the results. Keep exceptions visible for review and provide a handover that explains how to tag new assets. Learn about asset management software and use our tagging checklist.
Some asset groups may share a specification, but different surfaces and environments can require different materials or fixing methods.
Use one documented numbering policy and an authorised process for allocating unique IDs across all sites.
